Workflows streamline the post-application workflow by enabling follow-up forms, requesting necessary certifications or licenses, and tracking tasks across complex application processes. It ensures that offer letters can be sent without delay, even if onboarding documents are still pending. All data—uploaded files, form inputs, and completion statuses—is fully accessible via API, making it easy to integrate into existing systems and automate downstream actions.

Where Is This Feature Located?
You can initiate Workflows directly from the applicant profile under the Messages drop-down via the Send Request to Candidate option
How Do I Use It?
After clicking Send Request To Candidate, you will see the option to choose from several requests. The options you'll see are Request an E-signature, Send a Form, Send a Document, Request a Document, Send a To Do, or Choose an existing Workflows template.
(If there are no existing Workflow templates, you will not see any templates to choose from if you've selected that option.) Please see the support article [HERE] on how to create Workflow templates.
Once you've selected the request to send to your candidate and hit the Launch button, you will be routed to the Workflows screen to proceed.
IMPORANT NOTE: If this is your first time using Workflows, you may be prompted to provide some additional information about yourself before being directed to the request screen you originally selected. The screen you’ll see will look similar to the example included below. Simply follow the steps to create your Workflows account in order to proceed.![]()
Once you have filled out the fields and sent the request to the candidate, they will receive an email.
If this is the candidate’s first task, they will receive an email prompting them to create an account, as shown in the example below. Once logged in, they will see the task to complete it. Any subsequent tasks will trigger an email notification letting the candidate know they have pending tasks with a link to access them.
